Resources for First Time AGU Meeting Attendees

Planning to join AGU for the first time or looking for ways to make your visit to New Orleans a success? Although the AGU annual meeting is an exciting time, it can also be quite daunting to navigate through all of the exciting information about the meeting. Our colleagues from other AGU sections had put together a webinar containing information and resources for first-time attendees. You can access the recording here.

Resources for Presenters

AGU has developed several training sessions and short training videos to help all presenters prepare for a successful session which can be accessed here. This page also provides AGU Poster Requirements and Best Practices, AGU25 Technology Guide, as well as details on the Speaker Ready Room and Hours. Please note that several resources such as the training videos may need to be accessed via your AGU User Portal (Login required).

How to conduct a poster walk-through?

AGU is a really big conference, which means that not everyone will get a chance for an oral presentation. For SY sessions, some of the best discussions have happened during in-person poster sessions where people are able to ask questions, identify common interests, and potentially build new collaborations. In fact, a very exciting poster session on state climate resilience actions in AGU23, led to a new collaborative project between state agencies and researchers which is now being funded through the Penn State Climate Consortium. One of the ways to make a poster session successful is by conducting a poster walk through.

Here are some steps through which poster session convenors can make their session engaging, interactive, and successful.

  • Reach out to the poster presenters via email to gauge interest in a poster walk through - (an email list of all presenters will be available in your AGU user portal, under the link to Speaker Center
  • Identify a 1 or 1.5 hour timeslot during the day of your poster session when most of the presenters will be available at their poster
  • Ask all the presenters to gather at one of the poster locations at the allocated time, and be prepared to give a 2-3 min lightning talk at their poster followed by a 2-3 min Q&A (you can adjust the timing based on the number of posters)
  • After every 5-6 mins, move to the next poster making sure that you are actively facilitating the conversation and keeping folks on time
  • Encourage any onlookers at the posters to join your walk-through, so there is an audience in addition to the presenters
  • At the last poster, if there is time, there can be room for open discussions and casual conversations on topics or questions of mutual interest
  • Overall this provides a small and intimate group space to have conversations among the poster presenters and interested audience

Session convenors and chairs are highly encouraged to refer to AGU’s extensive training resources for Oral Sessions, Poster Sessions, GeoBurst Sessions, and Science Exchange Sessions. Please note that several resources such as the training videos may need to be accessed via your AGU User Portal (login required). In addition, AGU is also offering In-person Session Chair Trainings in New Orleans, LA on Sunday, 14 December | 4:30 PM – Convention Center, Room 206, and Tuesday, 16 December | 7:00 AM – Convention Center, Room 206.

Below is an abridged list of Top Tips for convenors (more details are in the above links):

  • Before the Session
    • Make sure at least one convenor is in-person to facilitate the session. Note that live streaming and online zoom options are NOT available for oral sessions in AGU25. Recordings are available within 72 hours of the session.
    • Email presenters ahead of time to make sure everyone has uploaded their presentations or recordings or posters (an email list of all presenters will be available in your AGU user portal, under the link to Speaker Center). Deadlines for uploading posters or presentations will be here - Oral Sessions, Poster Sessions, GeoBurst Sessions, and Science Exchange Sessions.
    • For poster sessions, consider reaching out to the presenters to organize a poster-walk through
    • Ask in-person presenters to be at the venue a few minutes before the session for a technology or poster board check, and to optionally visit the Speaker Ready Center (if needed)
    • Communicate to the online presenters that:
      • They do not participate live or via Zoom
      • For orals, their pre-recorded presentations will be played by convenors and they can respond to questions asynchronously through the AGU Events app
      • For posters, participation is through the iposter platform where they can schedule text or video chat times

  • On the day of the Session
    • Get to the venue 20 mins early to make sure all presentations/recordings/posters are uploaded, and familiarize yourself with the schedule and AV
    • Pull up the session schedule with the names of presenters and order of presentations
    • For oral sessions, familiarize yourself with the mobile Q&A app and encourage the audience and presenters to actively use the app. Make sure each presenter stays on-time. Optionally, try to leave time for in-person Q&A and discussion
